Organise by room, not just address

Give rooms a consistent name and link each concern to its location. Keep device identity separate from the room name so a replacement device does not break the property history. This is a practical record-keeping approach, not a legal prescription.

Keep resident reports visible

Offer residents a clear way to report damp, leaks or changes they have noticed. A low sensor reading should not prevent a report from being reviewed. Record access needs and agreed appointments without copying unnecessary personal information into every note.

Prioritise an action, not just a score

Use room trends alongside reports and inspection evidence. Assign the next action to a person: review, inspect, contact the resident or arrange works. Keep open issues visible until someone has checked the outcome; a declining line alone does not close the case.

Check the rules for your tenancy

Awaab’s Law’s extension to England’s private rented sector is planned, with timing subject to consultation. Do not assume the social-housing timetable applies to every HMO. Check the implementation roadmap and your existing obligations.
